Overview

The CEO of Simply Luxe, a home organizing company in San Diego and Orange County, scheduled her crew to client jobs by hand in Google Calendar. As Product Manager, I led a six-person team in building a Chrome extension that eased that admin overhead. I designed an AI-assistant inside Google Calendar that, given guided prompts, proposes schedules without double-booking anyone or tacking hard jobs back to back.

The Challenge

Simply Luxe’s CEO, Ryen Toft, scheduled every job to her crew by hand in Google Calendar. Each assignment meant balancing employee availability, time off, skill level, and burnout at once. For Ryen, that steady admin load competed directly with the work only an owner can do, like growing her client base and expanding her business.

The Goal

Ease Ryen’s admin load with a digital scheduling assistant. This assistant should understand all of the constraints admin faces when considering jobs schedules. It should ensure great service for the customer by assigning one familiar face to each day on multi-day projects, and limiting projects to one day when possible. The user flow should be as intuitive as possible, with drop down buttons and a simple interface.

The Solution

I led the Simply Luxe team in building an implementable Chrome extension. This extension assistant handles one project at a time: admin fills in the dropdowns, submits the request, and receives the dates and employees assigned, including the days each person works. They can reject and regenerate the proposal, or accept it to write the event into Google Calendar with the assignments in the event notes. This decreased Ryen’s tedious workload immensely, and allowed her to focus on her clients and the quality of her business.

Key Features

  • Calendar reads: capture availability and existing projects to avoid double-booking, with employee names read from both the guest list and the words “Assigned to” in event notes
  • Editable skill level sheet: add and remove employees inside the extension, with changes processed immediately
  • Schedule proposals: account for skill, availability, authorized regions, and burnout, support multi-day assignments, and can be regenerated or accepted directly into Google Calendar

Next Steps

Right now, the extension works only for Simply Luxe’s admin account and the project team. Next, I’d like to extend the product and offer a customizable version to other small businesses dealing with the same overhead.
